When? How far in advance of the Olympics?

No, the women knew going into these events that they would be competing on the same courses as the men. Because most all the x-games style events that have been added to the Olympics over the last decades have featured women on the same courses as men, from the half-pipe, to slope-style, to ski cross.

Is that really how it works? Are the men/teams given the plan/layout/design of the courses well ahead of time so they can build similar replicas and train on those?

I don't think it does. Because after all, these men also have to train for other competitions as well. I think they train on high level courses in general,
