Assign static IPs or have DHCP reservations. I recommend DHCP reservations though, because the user would have to know how to mask a MAC address to get around it. Then put in a proxy and let it collect logs, as people have suggested.

Gmail searching is very powerful, but as a previous commentor pointed out, you cannot do wildcard searches. This is why I label messages by either a group label or a label of the person's name. This way I can archive it and come back later.
